Georgians Padel Terms & Conditions

By using the facilities and services provided by Georgians Padel, you agree to abide by the following Terms & Conditions:

1. Facility Usage

All users must follow club rules, safety guidelines, and instructions from staff.
Users are responsible for any damage to property caused by negligence or misconduct.
2. Court Booking & Cancellations
Courts can be booked in advance, subject to availability.
Cancellations must be made at least 24 hours in advance to avoid charges.
Late cancellations or no-shows may result in fees or loss of booking privileges.
Cancellations within 24 hours must be made via email. No refunds will be issued for late cancellations.

2. Coaching & Lessons

May offer coaching at Georgians Padel.club-approved coaches- Only
Lessons must be booked through official club channels.
Coaching from non-approved coaches is strictly prohibited.

3. Group Coaching, Courses & Camps

Full payment is required at registration to secure a place.
Bookings are first-come, first-served. Priority may be given to returning players in high-demand programs.
Waiting lists may be created for oversubscribed sessions.
In case of cancellation due to low registration, alternative arrangements will be suggested.
Courses are paid upfront and non-refundable. Transfers are only at the club's discretion.

Sessions run regardless of weather unless deemed unsafe by the club. Coaches may use off-court activities if needed.
In the event of a cancellation, credit will be issued to your club account.
Please inform the club of any relevant medical conditions. We reserve the right to decline bookings if accommodations cannot be met.
We may advise alternative classes or deny entry based on age/ability suitability.
Player substitutions are not allowed.

4. Video Recording & Analytics by PlaySight (Court 2)

Video recording, TagMe highlights, match analytics, and statistics are included when playing on Court 2 at Georgians Padel.
Immediately after your match, players will receive an email with an invitation to view their video and data via the PlaySight app. To ensure data is correctly synchronised, please use the same email address for both Playtomic and PlaySight.
Only those players on court during the session have access to the video and data.

5. Adverse Weather Policy

As an outdoor venue, adverse weather conditions may occasionally affect play at the club. This policy explains how weather-related disruptions are handled and should be read alongside our FAQs and Terms and Conditions.

Please read this policy carefully before booking.

Weather conditions do not automatically mean that play will be cancelled. We monitor conditions closely and will only cancel bookings if the court is unplayable.

Examples of conditions that may make a court unplayable include:

Heavy rain
Standing water or puddles on court
Lightning
Strong winds
Any other conditions that, in the club’s view, make play unsafe or unreasonable

The decision as to whether a court is playable rests solely with Georgians Padel.

If the court is deemed unplayable, you will be contacted approximately 1 hour before your booking time.

3. Weather-Related Cancellations

If we cancel your booking because the court is unplayable due to weather:

You will be notified by the club
A credit will be issued to your account
No refund will be made to the original payment method

Please note that we do not cancel bookings in advance based on the forecast alone. Decisions are made as close as reasonably possible to the booking time, based on actual court conditions.

4. Cold Weather Guidance

Play may still go ahead during cold weather provided the courts remain safe and playable.

We recommend that players:

Wear suitable clothing
Warm up properly before play
Take extra care in colder conditions

5. Coaching Sessions

Group Coaching

If less than 50% of the session is completed, a credit will be issued
If more than 50% of the session is completed, the session will be considered fulfilled and no credit will be issued

Private Coaching

If a session is interrupted due to weather, time used will be rounded up to the nearest 15 minutes
Any unused time will be issued as credit

6. Events and Tournaments

If an event or tournament is cancelled due to adverse weather:

A credit will be issued
If more than 50% of the event has been completed, the event will be considered fulfilled and no credit will be issues

7. Changes to This Policy

Georgians Padel reserves the right to amend this Wet Weather Policy at any time where necessary.
Any updates will take effect once published.

8. Membership

Membership is annual and renewable after 12 months.
Payment is due in full and provides access to all applicable member benefits.
Memberships are non-transferable and non-refundable.
Memberships cannot be paused or suspended mid-term.
Membership Benifits apply to the member & 1/4 of the court

9. Safety & Liability

Members are responsible for their own safety.
Georgians Padel is insured via the LTA, but players are advised to carry personal insurance as well.

10. Privacy

Your personal information is handled in accordance with relevant privacy laws and used solely for club-related purposes.

11. Amendments

Georgians Padel reserves the right to update these Terms & Conditions at any time without prior notice.
It is your responsibility to check for the latest version, available online or at the club.

12. Termination

Access may be suspended or terminated for violations of club rules or inappropriate conduct, without refund.

13. Governing Law

These terms are governed by the laws of the jurisdiction in which Georgians Padel is based. All disputes will be handled by the appropriate local courts.
By using Georgians Padel facilities, you confirm that you have read, understood, and accepted these terms and conditions.

Club Rules

By entering, booking, or using any facility at Georgians Padel Club, all members and guests agree to the following rules.

1. COURT BOOKINGS

1.1 Booking Method

All bookings must be made exclusively via the Playtomic app. Georgians Padel Club reserves the right to amend the booking system or suspend access at any time for operational or disciplinary reasons.

1.2 Advance Booking Window

Members receive a 14-day advance booking window. Non-members can book within the shorter window shown in the Playtomic app. Georgians Padel Club may vary booking windows at its discretion.

1.3 Maximum Active Bookings (Strict)

Members may hold a maximum of 5 active bookings at any one time. Georgians Padel Club may cancel, restrict or suspend booking privileges at any time if misuse is suspected.

1.4 Payment and Player Liability

Every player must pay their share using the "Pay Your Part" feature. If additional players are not added within 1 hour, the booking holder may be automatically charged the outstanding amount, and no refunds will be issued. Georgians Padel Club may pursue unpaid balances and suspend accounts until payment is cleared.

2. CANCELLATIONS, NO-SHOWS & PENALTIES

2.1 Minimum Cancellation Period

Members: 24 hours. Non-members: 24+ hours.

2.2 Cancellation Fees

Non-members cancelling with less than 24 hours' notice: full court fee charged. on.

2.3 No-Show Policy
Failure to attend a booked session without cancelling is treated as a late cancellation and charged accordingly.

2.4 Three-Strike Enforcement
Any member who cancels late, fails to attend, or books courts irresponsibly three times within any rolling 60-day period will have their membership frozen or suspended immediately. Reactivation requires a meeting with management. Georgians Padel Club reserves the right to terminate membership entirely.

3. CONDUCT, BEHAVIOUR & SAFETY

3.1 Zero-Tolerance Conduct
Any behaviour that is abusive, aggressive, intimidating, discriminatory, disruptive, or damaging to the reputation or operation of the Club will result in immediate removal from the premises and may lead to permanent membership termination without refund. Georgians Padel Club also reserves the right to suspend the membership.

3.2 Safety

Running, jumping outside the court, or unsafe conduct is strictly prohibited. All members must follow staff instructions immediately and without argument. Fire exits must never be obstructed. Children (under 12 years old) must be supervised at all times.

3.3 Hygiene & Dress Code
Clean sports clothing and closed-toe, non-marking shoes are mandatory on court. No bare feet outside changing/shower areas. Anyone presenting a hygiene or safety concern may be refused entry.

4. LIABILITY & RISK

4.1 Use at Own Risk

All activities are undertaken entirely at the user's own risk.

4.2 Exclusion of Liability
Georgians Padel Club is not liable for injuries, accidents, property loss, damage, or any consequential losses, except where caused directly and solely by Georgians Padel Club's proven negligence.

4.3 Member Responsibility for Harm or Damage
Members are fully responsible for harm or injury caused to third parties, and for damage to courts, equipment, furniture, buildings or facilities, whether accidental, negligent or deliberate. Georgians Padel Club may charge the full cost of repair or replacement, recover losses through debt collection, and/or terminate membership.

4.4 Personal Property
Georgians Padel Club accepts no responsibility for items lost, stolen or damaged anywhere on the premises, including changing rooms, lockers and the car park.

5. COACHING, PROFESSIONAL USE & RESTRICTIONS

5.1 No External Coaching
Only coaches approved by Georgians Padel Club may offer lessons or instruction. Any unauthorised coaching will result in immediate removal from the premises, cancellation of bookings, and possible membership termination.

5.2 No Commercial Activity
No filming, content creation, or promotion for commercial purposes is allowed without prior written consent from Georgians Padel Club.

5.3 Substances
Anyone under the influence of alcohol or drugs will be refused entry or asked to leave.

6. MEMBERSHIP RULES & ENFORCEMENT POWERS

6.1 Membership Options

Georgians Padel Club offers the following memberships:
- Monthly Membership – £35 per month (6-month minimum term)
- Annual Membership – £300 per year (payable up front)
- Combined Tennis & Padel Membership – £600 per year

6.2 Member Benefits
All memberships include the same benefits:
- 14-day advance booking window
- Up to 5 active bookings at any one time
- 20% discount on peak court bookings
- 20% discount on group coaching
- 40% discount on off-peak court bookings

6.3 How Member Discounts Apply
Member discounts apply to the member's own 1/4 share of the court. Playtomic booking fees are not discounted.

6.4 Misuse of Membership
Any attempt to share, lend or misuse your membership or booking account will lead to immediate termination with forfeiture of all fees.

6.5 Termination, Suspension & Bans
Georgians Padel Club reserves the right to suspend a membership immediately, cancel any booking, prohibit entry, or permanently ban any person for breach of these rules, disruptive behaviour, safety concerns, or actions contrary to the interests of the Club. No refund will be issued upon termination for misconduct.

6.6 Management Discretion
Management's decision regarding the interpretation and application of these rules is final. Georgians Padel Club may update or amend these rules at any time without notice.

7. PRIVACY & DATA PROTECTION
The Club may use CCTV, photo, booking data (unless prohibited or restricted by law), and behaviour reports for safety, security and management purposes in accordance with UK GDPR.
